Site sign-in

Construction site sign-in with a QR code and a PIN.

A digital sign-in register for construction and trades businesses in Australia. Invited workers scan the gate QR code and enter their own 6-digit check-in PIN. Set2Go does not use geofencing or automatic GPS sign-on.

How sign-in works

  1. 1

Put a QR code at the gate

Each site has its own QR code and check-in link. The printed sign says “Scan to sign in”. The link is on the sign for a phone that will not scan.

  2. 2

    Invite the worker

Workers join because you invite them. They do not create the company, and they do not self-register at the gate. A worker check-in needs that account.

  3. 3

    Scan, acknowledge, enter a PIN

They open the page in the phone browser and sign in if they are not already. If the site has rules they have not acknowledged at the current version, they step through them. They enter their own 6-digit check-in PIN, and set one the first time. Then they check in.

  4. 4

They show on the on-site list

An open check-in is someone still on site: name and time in. Visitors appear on the same list. It stays until they check out, or until the row is closed for them.

The induction the gate checks

Upload the PowerPoint you already use. Workers view it on their phone, one slide at a time. The time each slide was first viewed is stored on that attempt. If you add a quiz, it stays locked until every slide has been viewed, then it is marked against the pass mark you set. If there are no questions, submitting after the slides records a pass.

The gate looks at company-wide inductions and inductions for that site. Check-in is refused when nothing is assigned, or when an applicable induction is not started, in progress, failed, or expired. In the 14 days before a pass expires, the status needs a retake. Induction records show that as expiring soon. The site safety board shows retake, and check-in is still allowed. Updating the induction version marks people who already passed the same way.

A worker who has an email address is sent one reminder when a pass is inside that window, and one when it has expired. A retake that comes only from a version change, while the expiry date is still later, does not send that reminder. Companies that induct people and do not run a gate can do the same phone induction from contractor inductions. How the deck becomes the phone induction is in turn a PowerPoint into a phone induction.

Who is on site

Open check-ins are the on-site list: no sign-out time yet, including visitors. A company admin or manager can open a site's attendance, filter it by date, and export the same rows to CSV. The list is the open rows when you open it. It is not a location tracker.

Sign-out

The worker taps check out. That writes the time they left, and it needs a connection. It is not stored on the phone for later. A company admin or manager can sign someone out from attendance. A scheduled job also closes check-ins that are still open and that started before 8:00 pm Brisbane time (AEST). A forced sign-out and that 8:00 pm job both mark the row auto-closed. The out time is when it was closed.

No signal

A worker check-in that cannot reach the server is kept on that phone and sent when the connection returns. Entering the PIN, signing out, and a visitor check-in need a connection. The phone shows when a check-in is waiting to sync.

Visitors

Someone without a worker account can check in: first and last name, an optional company, and an optional phone. If the site has rules, they step through them first. The on-site list shows the visitor's name and company. It does not show the phone. The check-in page says induction is for workers, and visitors acknowledge the site rules. That row is not an induction. Visitor check-in needs a connection. They can check out on the same phone.

Supervisor safety board

A second QR code, not the gate QR, opens the site safety board. Scanning it asks for a company admin, manager, or supervisor sign-in before any worker details are shown. The code is not a password, and there is no shared site PIN. The board lists who is on site and whether each worker is current, expired, not inducted, or due a retake. It also shows whether today's toolbox talk is done, and the open hazards.

What this is, and what it is not

Set2Go keeps the sign-in and induction records you collect. It does not write your emergency plan, your site rules, or a WHS management plan. It is safety administration and record keeping, not a statutory WHS system, and not legal advice. It does not make a workplace compliant. What a sign-in register is for, and what Queensland law does and does not require, is in the QR code site sign-in guide. The other notes are on the guides page.

FAQ

Do workers need an app?

No. Check-in is a page in the phone browser. The worker scans the gate QR with the camera, or opens the check-in link on the gate sign. They need an invite to a worker account, then their own 6-digit PIN. There is no app-store app to install.

What if there is no signal at the gate?

A worker check-in that cannot reach the server is stored on that phone and sent when the connection returns. Entering the PIN, signing out, and a visitor check-in all need a connection.

What happens if a worker's induction has expired?

Check-in is refused. The gate says an induction is required and links the worker to their inductions. A pass inside the 14 days before it expires is marked as needing a retake: records show expiring soon, the site safety board shows retake, and check-in is still allowed. Not started, in progress, failed, or no induction assigned also blocks check-in.

Can visitors sign in?

Yes. A person without a worker account can check in with a first and last name, an optional company and phone, and the site rules if the site has any. That is not an induction, and it needs a connection. The on-site list shows the name and company, not the phone. They can check out on the same phone.

Does Set2Go make a site compliant?

No. Set2Go is safety administration and record keeping. It is not a statutory WHS system and it is not legal advice. A sign-in record does not, by itself, make anyone compliant.
